What to Include in an Office Cleaning Scope of Work

A checklist for facilities and office managers.

Start with how the space is used

An office that is occupied from morning to night needs a different plan from one that is empty after six. Before listing tasks, note your working hours, peak areas and any rooms that need special handling.

A practical checklist to build your scope

  • Desks and common-area surfaces, including frequently touched points
  • Pantry and kitchenette cleaning
  • Washrooms, including restocking of consumables if agreed
  • Floor care: vacuuming, mopping, and any periodic machine work
  • Bin emptying and waste collection to a defined point
  • Glass, partitions and entrance areas
  • Meeting rooms and reception

Separate daily, weekly and periodic tasks

Not everything needs to happen every day. Group tasks by frequency so you are not paying for daily attention on items that only need a monthly visit.

Details that are easy to miss

  • Access: who opens the premises and what hours cleaners may work
  • Who supplies consumables, equipment and chemicals
  • What is excluded, such as inside of cabinets or specialist equipment
  • A named contact on both sides, and how issues are reported

How to review the work

Agree how you will check quality: a simple walk-through checklist, regular feedback, or a supervisor sign-off. Only tasks specifically agreed are covered by a quotation, so the more precisely the list is written, the fewer surprises later.
